This Privacy Statement applies to Oper8 Environmental Monitoring Systems (“Oper8 EMS”), including OPER8‑2D, 5D and 16D devices. It explains how personal data is handled when using EMS features such as email alerting.

This statement supplements Oper8’s general Privacy Policy and applies only to the operation of Oper8 EMS products.

Scope

This statement describes how personal data is processed by Oper8 EMS devices during normal operation, including configuration and delivery of system alerts.

It does not apply to Oper8 website usage, marketing activities, or other Oper8 products or services, which are covered by separate policies or statements.

Information collected by Oper8 EMS

When configuring or using an Oper8 EMS device, the system may store:

• User-provided email addresses used to receive alerts
• Alert configuration and notification preferences
• System configuration data** associated with alert delivery

No personal data is collected unless explicitly provided by an authorised user during device configuration.

How information is used

User-provided email addresses are used solely for the purpose of sending system alerts as configured by the device administrator.

• Alert emails may include information such as:
• Sensor readings or system events
• System logs
• Images or other attachments, where supported and explicitly enabled by the user

Email addresses are not used for marketing, analytics, or unrelated purposes.

Email services and OAuth authentication (Gmail / Microsoft 365)

Oper8 EMS devices support modern email services such as Google Gmail and Microsoft 365, which may require OAuth-based authentication. OAuth authorisation may be facilitated using authorisation services operated by Network Technologies Inc. (NTI). In this process:

• Authorisation occurs between the user, the selected email service provider (such as Google or Microsoft), and NTI-operated authorisation services
• Authorisation data is processed transiently to enable email delivery
• Authorisation data used for this process is not retained beyond completion of the authorisation flow

Oper8 EMS devices do not receive or store user email account passwords as part of this process.

Sharing of information

Oper8 EMS devices do not share user email addresses with third parties, except as required to send alert emails via the configured email service. If centralised monitoring or management software is used, device configuration (including alert email addresses) may be visible to authorised administrators within that system. Oper8 does not sell or disclose EMS alert email addresses for unrelated purposes.

Data retention and deletion

Email addresses and alert configuration data are stored on the Oper8 EMS device and remain available until changed or removed by an authorised administrator.

Where centralised monitoring or management software is used, deleting a device from that system removes the configuration data stored within the management system. Configuration data may continue to be stored locally on the physical device unless it is removed or the device is reset.

If an Oper8 EMS device is decommissioned, reassigned, returned, or disposed of, administrators are responsible for removing configuration data and performing an appropriate reset (for example, a factory reset) in accordance with their organisation’s security policies.

Security

Oper8 EMS devices use industry-standard security mechanisms to protect configuration and alerting data. Administrators are responsible for:

• Managing access to EMS devices
• Appropriately configuring alerting features
• Controlling access to email accounts used for notifications

No system can be guaranteed to be completely secure, and devices are configured and operated at the discretion of the user.

Updates to this statement

This Privacy Statement may be updated from time to time to reflect changes in Oper8 EMS features or supporting services. Updates will be published at this URL.
